Proof of Consent

Hidden Cove RV Park is committed to transparent, lawful data practices. This page explains how and when we obtain your consent, what you are consenting to, and how we maintain records of that consent.

What Consent We Collect

Before completing an online reservation, every guest must actively check a consent checkbox that reads:

“I agree to the Privacy Policy and understand my reservation details.”

This checkbox is not pre-checked. It requires deliberate action by the guest. The form cannot be submitted and payment cannot be processed without this consent being given.

What You Are Consenting To

  • Collection and processing of your personal information (name, email, phone) as described in our Privacy Policy.
  • Secure payment processing through Stripe, Inc.
  • Receipt of reservation confirmation emails and important booking updates.
  • Storage of your reservation details for up to 7 years for legal and accounting purposes.

How Consent Is Recorded

At the moment you check the consent box and complete your reservation, our system automatically records the following information as proof of consent:

  • Timestamp: Exact date and time of consent (server time).
  • Guest Identity: Your full name and email address as entered in the reservation form.
  • Site & Dates: The RV site reserved and your check-in/check-out dates.
  • IP Address: Your internet protocol (IP) address at time of consent.
  • Browser/Device: Your browser user-agent string (identifies your browser and operating system).
  • Policy Version: The version number of the Privacy Policy in effect at time of consent.
  • Policy URL: The exact URL of the Privacy Policy you agreed to.
  • Consent Statement: The full, verbatim text of the consent statement recorded at time of agreement.
  • Reservation ID: Your WordPress reservation record ID for cross-reference.
  • Payment Reference: The Stripe payment intent ID linking consent to the payment transaction.

Consent Record Retention

Consent records are retained indefinitely unless deletion is specifically requested and legally permissible. These records serve as legal documentation of your agreement to our Privacy Policy and are used to demonstrate compliance with applicable privacy regulations including GDPR and CCPA.

Withdrawing Consent

You may withdraw consent for future data processing at any time by contacting us. Please note that withdrawal of consent does not affect the lawfulness of processing carried out prior to withdrawal, and certain data must be retained for legal and contractual obligations (such as completed reservation and payment records).

Your Rights

  • Right to Access: Request a copy of your consent record.
  • Right to Rectification: Request correction of inaccurate personal data.
  • Right to Erasure: Request deletion of personal data where legally permitted.
  • Right to Object: Object to certain types of processing.
